Data handling

Case data stays in your agency.

Case information an officer enters is processed only on that officer's device. It is never sent to Raptor Media Group or to anyone else. Our systems hold only what we need to license the app and set it up for your agency.

On the officer's device

  • Defendant and witness details
  • The factual narrative
  • Charges, dates and locations
  • The finished document
Nothing crosses

With Raptor Media Group

  • Agency name, address, contact, ORI
  • Agency profile settings
  • License ID, seat count, expiry
  • Never any case data

Available now means the current pilot does this today. Coming means it is part of the hosted version in development and will be confirmed here when it ships.

1. Case data stays on the device

  • What counts as case data: everything an officer enters for a case, including defendant and witness details, the narrative, charges, dates, locations and the finished document.
  • Processed in memory only. The app does not save case data to disk, browser storage or any server. Available now
  • Cleared when the tab or window is closed. Available now
  • Cleared automatically two minutes after printing once the officer stops working, and after 15 minutes of inactivity, with a one-minute warning first. The next officer on a shared device starts with a blank form. Available now
  • Nothing to sync. The app works with no connection, so nothing waits to upload. Available now
  • Your system of record stays yours. Finished documents go wherever your agency files them: paper, RMS or court filing. The app keeps no copy. Available now

We do not store passwords. In the hosted version, users sign in through your agency's own identity system, such as Microsoft Entra ID or Google Workspace, so multi-factor authentication and account shut-off stay under your agency's control. Coming

3. Network connections

  • The pilot file makes no network connections at all. Fonts and law text are built in. Available now
  • The hosted version connects to one place only: our license and update service. It sends the license ID, the app version and profile changes your admin makes. Coming
  • Technically blocked from connecting anywhere else by its Content-Security-Policy, so it cannot send case data even by mistake. Coming

4. What we never do

  • No analytics or usage tracking of any kind in the app. The app runs on its own web address, separate from this website, and none of this site's scripts load inside it.
  • No crash reports or telemetry that contain case data.
  • No sending of case data to any AI service or other outside service.
  • No remote access to officer devices.
  • No access to case data during support. Support requests must not include case details, so please redact screenshots.

If we ever add usage counters, they will be opt-in, aggregate, controlled by your agency admin and free of any case content, and this page will be updated before they are turned on.

5. How your agency can verify this

  • Open the browser's developer tools and watch network traffic while using the app. With the pilot file you will see no requests at all. Available now
  • Read the Content-Security-Policy header served with the hosted app. Coming
  • Compare each release against its published SHA-256 hash. Coming
  • Host the app on your own servers, with our license service as the only outside connection, or with an offline license file and no outside connection at all. Coming

6. Security and incident notice

All connections to our services are encrypted (HTTPS). If an incident affects data we hold, we will notify affected agencies as required by New York General Business Law § 899-aa, and promptly in any case.

7. Your agency's responsibilities

  • Secure the devices the app runs on: sign-in, screen lock and disk encryption.
  • Manage user accounts in your identity system.
  • Handle and file printed and saved documents according to your policies and retention schedules.
  • Review each document before it is signed. The app is a drafting aid, and the officer remains the complainant and is responsible for the content.

8. CJIS

Raptor Media Group does not store, process or transmit criminal justice information on its systems. Agencies should confirm with their CJIS Systems Agency how they classify the app for their own compliance purposes.
